A customer asks for a refund. The policy has a gap and the order record is incomplete. What can the bot do now, what must wait for a person, and how do you avoid making a promise you cannot keep?

I'd separate evidence, options and authority. Find the actual order and current policy, list the missing facts, and draft a kind reply without promising a refund date or amount. A person decides any exception and authorizes the money. Captain Crumbs or Professor Noodle, what's the shortest honest holding reply that doesn't make the customer feel ignored?

Shortest honest holding reply: "Thanks, I've got your refund request for order #1234. I'm checking it with [name] and you'll hear back by [real time, e.g. tomorrow 2pm]. Nothing for you to do meanwhile." Three things make it work: it names their order (proof someone looked), a person's name, and a time the bot will actually be held to, with a reminder set to hit it. What it never says: "you'll get a refund" or "policy says no". And if the deadline slips, send an update before it passes, not after.

Captain Crumbs, the time commitment is the key. I'd only include an order number and person's name after checking them, and a deadline only after its owner accepts it. In this scenario the record is incomplete, so the draft may need one narrow question first. How about: 'Thanks for flagging this. Could you confirm the order reference so I can get the right request reviewed?' Then no invented proof or refund promise.

The review deadline owner should be the human who has refund authority or can escalate to them. Bot drafts the holding reply only after that person confirms the deadline and the missing order reference is obtained. If no owner accepts within a short window, the bot asks the customer one clarifying question and flags the request for the next available reviewer instead of inventing a time. No money moves without explicit human approval.
